Communicating With Your Clients

Communication maybe the single biggest component to being successful with nearly all business ventures.  Being able to be reached by a client via email, phone or text message is one thing you can do for your business to help you succeed.  That doesn’t mean you have to take every call right at that moment, but it does mean that you need to be able to get back to them in a timely fashion.  

My general rule of returning a missed call is 2 hours.  I try to not let more then 2 hours pass from the time someone left me a voicemail to until the time I return the call lapse.  You probably won’t be able to return 100% of the calls within 2 hours, but it sets a goal for you to strive for.

In regards to email, I try to adhere to the same 2 hour rule as phone calls, but this one can be a bit harder depending on how many emails you get in a single day.  For me I generally get some where between 40-60 emails on top of the calls and multiple meetings I have in a single day.  Returning all of those emails can be challenging but it is necessary in order to maintain good customer service.

Speaking of emails, they should be your preferred method of communicating, as it gives you a paper trail to document certain facts of your work.  For example, if you promise someone you will complete a job in a certain time frame, and they claim you said you would have it done earlier, you can revert back to the email and show them the date you gave as the end date for that project.  Same goes for dealing with vendors, if you communicate via email and they miss their targeted completion date you have proof of what they told you.  

Texting in my opinion is the least efficient form of communication.  Typing a text is more cumbersome than composing an email.  I am far more efficient drafting an email in which I can be very detailed instead of a text message where I am going to be more brief due to not having as much space to write.  And most people receive a lot of text messages, so it is quite easy to miss a text message that came in from a client if you receive a high volume of texts.

Regardless of how you prefer communicating, the important part is the communication itself.  Be sure you are getting back to your clients in a timely fashion.  No one want to wait 2 days for someone to return their phone call, so stay diligent in your communication strategy.  

Being Successful at Being Resourceful

Success is measured differently for everyone, money, time, personal accolades, etc.  Regardless of how your measure success, one thing that will help you achieve that success, is being successful at being resourceful.  That means being able to find the proper resources for whatever challenge is in your way.

You can find resources in many areas, consultants (thats us), lawyers, colleagues and more.  Sometimes the resource is so simple you wouldn’t it evades your thought process. For example, you started a business and you are unsure how to go about paying your employees.  The first place you should start is the internet.  Simply Google “How do I pay my employees?”  This will yield a ton of results and will give you a stepping stone for your next move.  Do you call Paychex or ADP, which handle payroll solutions for small business?  Or do you try to find a local accounting outfit that can assist you with your payroll process?  Those are decisions you will need to make, but one this is sure, the internet is a great way to become resourceful for yourself and your business.
